The Role
Front of House Coordinator – Edinburgh
We have a fantastic opportunity for an enthusiastic Front of House Coordinator who displays a positive can-do attitude who can provide the highest levels of customer care and service to all internal employees, clients and visitors to the office.
Purpose of the role/key responsibilities:
· Being the first point of contact for clients and team members where you’ll enthusiastically represent the Group both face to face and on the phone
· To provide a warm, courteous and prompt welcome on arrival for all visitors at reception
· Ensure that customer needs and expectations are met and where possible exceeded
· To maintain an accurate visitor log through the Sign-In App
· To have a full understanding of the hospitality provision in the meeting rooms and to ensure that any catering requests are communicated with the service provider in a timely and accurate manner
· To manage the day-to-day operations and administration for Meeting Rooms
· Processing, scanning and distributing incoming and internal post
· To collect and process all outgoing mail as required
· Dealing with any contractors/cleaners/equipment issues
· Ordering of stationery/supplies/taxis/couriers/confidential waste uplifts
· Answer phone, supporting our outsourced switchboard with telephone enquiries, ensuring all calls are answered promptly and effectively handled
· Point of contact for team members to support with office queries
· Providing support with document processing and other administrative tasks
· Variety of data processing and general office support duties
Experience and skill set required for the role:
· Previous experience in a reception/front of house role
· Ability to adapt quickly
· Good organisational skills
· Good communication skills, both oral and written
· Good interpersonal skills
· An ability to work using own initiative
